Summary:

The Executive Administrative Assistant supports the office of the General Manager, as well as the Resident Manager and Director of Food and Beverage at Full Service properties.


Responsibilities

The Executive Assistance will provide the highest quality of service to the leadership team and guests at all times and anticipate and exceed guest expectations. Must know and live the mission of White Lodging and the appropriate property brand standards. Responsibilities will differ at Full Service versus Select Service properties and may include:
• Provide clerical support to the General Manager, Resident Manager, and Director of Food and Beverage
• Schedule and organize activities such as meetings, travel, conferences, and appointments. Maintain the GM Outlook calendar.
• Establish and maintain filing system. Retrieve information from system as needed.
• Organize and prioritize large volumes of information and calls.
• Sort and distribute mail; open mail; draft written responses or reply by phone or email when needed.
• Process checks for deposit
• Answer the telephone within three rings with a smile and transfer or answer questions accordingly. Field/answer all routine or non-routine questions.
• Type or design general correspondences, memos, charts, tables, graphs, business plans, etc. Proofread for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
• Ensure confidentiality and security of all guest information at all times.
• Take minutes at various meetings (i.e., Executive Committee, Staff Meeting, Safety etc.)
• Support General Manager in maintaining Guest Satisfaction tracking and replies. Answer all GSS/ESS and social media comments. Give appropriate compensation when necessary. (On track to answer 5,000 to 5,500 by year end.)
• Support Front Office and other departments with design and printing of vouchers, fliers etc.
• Preparation of documents and materials as requested.
• Part of the Problem Free Stay Committee and the Activities Committee. Assist in associate functions when needed.
• Maintain gift certificate log.
• Liaison between managers and General Manager.

EDUCATION/EXPERIENCE

• High School or GED Required.
• 2 year degree or relevant experience preferred.

WORKING CONDITIONS

• Ability to sit and stand for long periods of time. Ability to move from a sitting to standing position frequently.
• Ability to carry, push, and/or pull up to 10 lbs.
